Job summary

Local Care Direct is a non-profit Social Enterprise operating across 24 hours a day, 7 days a week, 365 days a year, to provide various primary and urgent health care services across West Yorkshire.

We have a vacancy available for a fixed-term  SafeHaven Administrator at Bradley, Huddersfield working 27 hours per week until 31st December 2022.

The SafeHaven Administrator will provide specialist primary care administration to support the operational delivery of the Safe Haven service.

Salary: £10.61 per hour

Main duties of the job

The SafeHaven Administrator  will receive and deal with telephone calls from patients prioritising their requests and booking patients into clinics as required. Along with maintaining accurate patient information in the patients notes and SystmOne records.

They will liaise with clinical and non-clinical staff to organise appropriate arrangements for clients, including Safe Haven doctors, nurses, police, pharmacy, Drug and Alcohol services and Department of Works and Pensions. Along with organising appropriate resources to ensure effective running of clinics, transportation of security and notes to and from clinics.

Line Manager: Safe Haven Manager

Job Purpose:

To provide specialist primary care administration to support the operational delivery of the Safe Haven service.

Safe Haven Services

  • To receive and deal with telephone calls from patients prioritising their requests and booking patients into clinics as required.
  • Maintain accurate patient information in the patients notes and SystmOne records
  • Liaise with clinical and non-clinical staff to organise appropriate arrangements for clients, including Safe Haven doctors, nurses, police, pharmacy, Drug and Alcohol services and Department of Works and Pensions.
  • Organise appropriate resources to ensure effective running of clinics, transportation of security and notes to and from clinics.
  • Compile data and information for monthly service reports
  • Support the implementation of any changes to service, cascading awareness of the service operating across all sites.
  • Attend internal and external service review meetings as required.
  • To interact with outside agencies, mental health, substance misuse, prisonsand District Nurses

General Administration

  • Action all system one Tasks in the Safe Haven unit
  • Provide reception support to the Safe Haven doctors during clinics.
  • Check Pathology results for Safe Haven patients communicating these back to the GP.
  • Safely managing difficult situations over the telephone to ensure continuity of care.
  • Liaise with external agencies for referrals
  • Arranging clinical routine primary care services for safe haven patients including cervical cytology/annual health review and seasonal flu vaccinations and as required.
  • Scanning of documents
  • Read coding clinical documents
  • Summarising patients medical notes
  • Letter writing to patients and external agencies

Team

  • Arranging local induction of any new starters to the team
  • Provide cover for absent colleagues as appropriate
  • Maintain high standards and provide support for colleagues as required.

  • Actively participate in the performance review process. Performance against clear standards, responsibilities and objectives will be formally assessed through regular 121s with your line manager and an annual Performance & Development Review.

Health, Safety & Security

  • To report any accidents, complaints, defects in equipment, near misses and untoward incidents, following company procedures.
  • Ensure compliance with Health and Safety at Work regulations.
  • Ensure Health and Safety legislation and company policy is complied with at all times, including COSHH, Workplace Risk Assessment, manual handling and Control of Infection.
  • Ensure compliance with Infection Prevention and Control guidelines.

Infection Prevention and Control

  • Healthcare workers have a duty of care to patients and are expected to comply fully with the companies Infection Prevention and Control (IP&C) policies and attend/complete 2 yearly IP&C training, for personal and patient safety and for prevention of healthcare-associated infection (HCAI). Knowledge, skills and behaviour in the workplace should reflect this.

Person Specification

Qualifications

Essential

  • Full valid driving licence.

Desirable

  • NVQ Level 2 in Office Administration or similar.

Experience

Essential

  • Experience dealing with members of the public/patients in a busy environment.
  • Administrative experience including maintaining office systems.
  • Experience of dealing with patient calls of a complex and demanding nature.
  • Experience of working in partnership to carry out a role.
  • Experience of dealing with complex and demanding patients face to face.
